Over the years, I've worked with many incredible interior designers, and one thing is clear: project management can either be your best friend or your worst enemy. Luckily, there are some great tools out there that can help streamline your workflow and allow you to focus more on your creativity and less on the logistics.
As a virtual interior design assistant who's personally used all the tools I’ll be recommending, I know firsthand how effective they are in helping interior designers get their projects from concept to completion. Here are five categories of essential tools every interior designer should use to keep their projects running smoothly!
Top 5 Project Management Tools All Tried and True By A Virtual Interior Design Assistant
1. Task Management Tools
Whether you're working solo or managing a design team, keeping track of tasks is so important for meeting deadlines and ensuring every detail is handled. My go-to tools for task management are Trello and Asana.
Trello: This visual task management tool uses boards and cards to help you organize your to-do lists. Whether you're tracking the progress of a design install or organizing client meetings, Trello’s drag-and-drop interface is perfect for getting a bird's-eye view of everything. You can create custom workflows, set deadlines, and assign tasks to team members – all with just a few clicks.
Asana: If you need a bit more structure in your task management, Asana is a lifesaver. It allows you to break down your projects into subtasks, assign them to different team members, and track progress over time. Plus, you can set milestones to make sure you hit key dates and deliverables.
Both Trello and Asana have been lifesavers in keeping projects organized and on track, and I use them regularly when assisting designers with their workflow. My recommendation is to try both out (they both have free versions) to see which one suits you best. In my experience, some designers swear by Trello and others can't imagine life without Asana.
2. Project Management Tools
Project management is a lot more than just task tracking – it involves managing clients, proposals, orders, and budgets. Here are some great tools tailored specifically for interior designers.
Ivy (by Houzz Pro): I love Ivy for its all-in-one project management capabilities. It allows you to manage your design business from client proposals to invoices, all while keeping track of the purchasing and procurement process. Its easy integration with suppliers makes it a breeze to stay organized, especially if you’re managing multiple projects.
DesignFiles: Need a tool to not only manage timelines but also create stunning client presentations? DesignFiles is perfect for that. Its drag-and-drop interface allows you to easily create mood boards, product lists, and client invoices. Plus, it offers client portals where they can view progress and approve designs. Personally I feel like DesignFiles has improved significantly the last couple of years and it seems like they are continuously bettering their systems.
Programa: For streamlining operations, Programa is a newer program that seems to be getting great feedback. It's simple yet effective for managing orders, client projects, and even budgets. The automation features have saved me and my clients tons of time on repetitive tasks, allowing us to focus on the creative aspects. I have the least experience with Programa as it's fairly new, but it seems like a good option with a straightforward, user-friendly aesthetic design.
These tools have transformed the way I manage design projects for clients, helping make sure everything is on time and within budget.
3. Creative Management Tools
Designers live and breathe creativity, and having the right tools to bring your vision to life is key. For creating beautiful visuals, presentations, and graphics, I rely on Canva and Adobe Photoshop.
Canva: Canva is a fantastic tool for designers who want to quickly create mood boards, social media content, or even presentations. With a user-friendly interface and a wide range of customizable templates, you can create professional-quality visuals in no time. I use Canva regularly for creating Pinterest-worthy graphics that resonate with my audience.
Adobe Photoshop (Photoshop, and also Illustrator, InDesign): For designers who want more creative control, Adobe’s suite of tools is unbeatable. Photoshop is ideal for editing photos and can just do a bit more than Canva in some aspects. I don't have much experience with Illustrator and InDesign but know that they are valuable tools for some designers. Whether you’re preparing a detailed presentation or finalizing a brand design, Adobe Creative Cloud is a great recommendation for interior designers who take their visuals seriously.
In my experience, Canva is the most user-friendly tool for all of your graphics, whether that be social media posts or client presentations. Adobe Creative Cloud takes a bit more to master and could be a great task to outsource to a VIDA.
4. Marketing Tools
Staying in touch with your clients and keeping them updated throughout the project is key. I highly recommend using FloDesk and MailChimp for client communication and marketing.
FloDesk: This tool is a game-changer for email marketing. FloDesk’s beautiful templates and easy-to-use interface make it simple to send out visually stunning emails. From design updates to newsletters, FloDesk allows you to maintain ongoing communication with your clients and keep them engaged.
MailChimp: If you’re looking for a tool that does it all, MailChimp is your best bet. Not only does it handle email marketing, but it also offers features for social media ads and client follow-ups. Plus, its analytics will help you understand how well your campaigns are performing, allowing you to tweak your strategy for better engagement.
FloDesk is the winner here for me as it's very easy to use and creates very aesthetic, on-brand emails for interior designers.
5. Time Management Tools
Time management is key when you're juggling multiple design projects, and tracking billable hours is a must. For time and financial management, I swear by Toggl Track and Clockify.
Toggl Track: I’ve used Toggl Track extensively for tracking billable hours across different design projects. It’s a simple but powerful tool that allows you to break down time spent on tasks, ensuring accurate invoicing and time management.
Clockify: Another fantastic time tracker, Clockify is completely free and offers a range of features to help you manage your hours. Whether you’re working solo or with a team, Clockify helps ensure that every minute spent on a project is accounted for, allowing for easy project tracking and invoicing.
Both tools have become indispensable in making sure my clients (and I!) stay on top of time management and invoicing.
