Fall is a season synonymous with returning to routines and establishing a sense of order. For me, in the world of interior design, this seasonal shift serves as a powerful reminder of the transformative impact that systems can have on your business.


Just as routines provide structure and stability in our personal lives, systems act as the backbone of your design practice. They streamline workflows, enhance client communication, and empower you to consistently attract new business. By implementing effective systems, you will experience improved time management, reduced stress, and ultimately, a more successful and fulfilling career.


What is a system? 

A system refers to a set of processes, procedures, and resources that work together to achieve a specific goal. It includes tools, methods, and people aligned to carry out particular tasks efficiently and consistently. Systems can be formal or informal and are often designed to streamline operations, improve productivity, and maintain quality control.

Time Management 

In the fast-paced world of interior design, time is your most valuable asset. With multiple projects, client and vendor emails, and marketing efforts vying for your attention, effective time management is so so important. Systems act as your time-saving ally, helping you prioritize tasks, avoid procrastination, and consistently meet deadlines.


Having a system in place is like the difference between a tornado and a slow moving stream. Let’s talk about creating a system for procurement. When you’ve created a system that you can copy and paste for each new project, the task of procurement gets quicker and quicker. You and your team know where to find everything, communication is seamless, and all related documents are saved in the same place. Imagine that. 


I recommend having a shared Google Doc where the team can quickly reference where to find everything, the process in chronological order, and any other references they might need.


Client Communication

Building strong client relationships hinges on clear and consistent communication. From initial consultations to project updates and final installations, maintaining open lines of communication fosters trust and ensures client satisfaction. When juggling multiple projects, systems streamline communication, ensuring each client feels valued and informed.

Leverage project management software and automated reminders to keep everyone on the same page and deliver exceptional service, even when managing numerous projects simultaneously.


Creating a document in Canva or Figma that shows the process of your design project with what email correspondence is needed at that stage of the project (i.e. which invoice to send, what needs approval, etc.) like below, is a great tool to have for your team to easily reference.

Marketing & Lead Generation

In the competitive landscape of interior design, consistent marketing efforts are essential for staying top-of-mind and attracting new clients. Systems play a pivotal role in facilitating regular social media posting, email newsletters, and other marketing activities.


It doesn’t have to be overwhelming. You can start by using the calendar on your phone to plan a few posts a week. This is a great task to delegate to a virtual assistant and many of my clients have said it helps so much with accountability (which is really half the battle). Have someone help you come up with post ideas, create Canva graphics, and create a shared calendar for you.    


Remember, consistency is key. By implementing systems to automate and schedule your marketing efforts, you'll ensure your brand remains visible and engaging, even during your busiest seasons.


Team Collaboration

Expanding your team with a virtual assistant can significantly enhance your productivity and capabilities. To foster a seamless collaboration, shared calendars become your virtual hub, centralizing schedules and appointments.


Complement this with a set weekly check in to maintain clear communication, set expectations, and ensure alignment with your virtual assistant. By embracing virtual collaboration and implementing systems for effective communication, you can tap into a wider talent pool and achieve greater efficiency in your business.


Your Design Process

A well-structured design process is the cornerstone of successful project execution. From the initial client consultation and mood board creation to final presentations and installations, each step requires careful attention. By incorporating systems into your design process, you'll ensure smooth transitions between phases, minimize errors, and consistently deliver exceptional results.


An important thing to note here is to remember to have internal deadlines as well as client deadlines. For example, if you have a client meeting on October 10th, make your internal deadline for the presentation October 8th. A really important one is renders, as you may be communicating with someone outside of your organization. Again if your presentation is October 10th, have a deadline for yourself to send any necessary documents to your renderer two weeks before and have them finished by October 7th so you can add them to your presentation before your internal deadline of October 8th.
